What is workflow automation?

Workflow automation is software that runs a defined sequence of actions automatically when a trigger event occurs. A form submission, inbound call or pipeline change starts the workflow, which then sends messages, assigns tasks, updates records, books appointments or calls external systems according to conditional logic.

A workflow has three parts: a trigger that starts it, conditions that decide which path it takes, and actions it performs.

The part that determines whether a workflow survives production is rarely the happy path. It is the handling of edge cases — the duplicate submission, the contact who replies mid-sequence, the message that fails to send, the reply arriving at 3am in a different timezone.

Exit conditions are the most commonly missing element. A sequence without them keeps sending after a contact has replied, booked or opted out, which irritates precisely the people who were converting. It appears in the majority of inherited accounts we audit.
