Real Estate

Real estate automation that answers before the other agent does

Portal enquiries go to several agents simultaneously. The one who responds first usually gets the viewing, and everyone else is competing for second place from a standing start.

Quick answer

How does automation help a real estate agency?

Automation responds to portal and website enquiries within seconds, qualifies buyers on budget, timeline and financing, books viewings against live diary availability, and keeps long-cycle vendor and landlord leads warm through nurture sequences that run for months without anyone remembering to send them.

Lead behaviour

How real estate leads actually behave

Real estate has two lead types with opposite dynamics. Buyer enquiries from portals are intensely time-competitive — the same enquiry lands with several agents at once, and speed decides who gets the viewing. Vendor and landlord leads are the reverse: the cycle runs for months or years, the enquiry is often exploratory, and the agent who is still in contact when the decision is finally made wins the instruction. One needs instant response, the other needs patience that no individual agent sustains manually.

  • Portal enquiries arrive while agents are out on viewings and cannot respond.

  • The same enquiry goes to four agencies simultaneously, so a two-hour delay is fatal.

  • Viewings are booked by phone tag across three messages and a voicemail.

  • Vendor leads six months from listing get one call and are never contacted again.

  • Buyer requirements live in an agent's head, so nobody else can match a new listing to them.

  • Weekend enquiries — the peak for property searching — land when the office is closed.

What we automate

Where the system earns its keep

The automations that move the needle in real estate specifically — not a generic list.

  1. Automation 01

    Instant enquiry response

Portal and website enquiries answered within seconds, at weekends and evenings when property browsing actually peaks.

  2. Automation 02

    Buyer qualification

Budget, financing position, timeline and requirements captured conversationally and written to the CRM as structured fields.

  3. Automation 03

    Viewing booking

Live diary availability offered in the first conversation, removing the phone tag entirely.

  4. Automation 04

    Long-cycle vendor nurture

Sequences that run for months with genuinely useful content, so you are still in contact when the decision arrives.

  5. Automation 05

    New-listing matching

Registered buyers automatically alerted when a property matching their criteria comes on.

  6. Automation 06

    Post-viewing follow-up

Feedback captured and next steps triggered, rather than depending on the agent remembering after a day of viewings.

AI in this sector

Where AI agents fit in real estate

Weekend and evening enquiries

The peak browsing window is exactly when the office is shut. An agent answers and books the viewing.

Buyer qualification calls

Financing position and timeline established before an agent spends a Saturday on a viewing with someone who cannot proceed.

Vendor reactivation

Calling valuation enquiries from a year ago that were never followed up.

Compliance

What we have to build around

Sector rules are part of the architecture, not an afterthought. This is not legal advice — confirm your obligations with your own advisor.

  • Marketing consent for property alerts is distinct from consent to be contacted about a specific enquiry, and the two should not be conflated in the CRM.
  • In the UK and EU, GDPR and PECR govern electronic marketing contact, including how long a vendor lead may be nurtured after their original enquiry.
  • A2P 10DLC registration is required for reliable SMS delivery to US numbers.

Two systems, not one

The mistake in real estate automation is building one funnel for all enquiries.

Buyer enquiries need speed above everything. Response measured in seconds, qualification compressed, viewing booked in the first interaction. Anything that adds a step loses the enquiry to a faster agent.

Vendor and landlord leads need the opposite. They are exploratory, the decision is months away, and pushing hard early loses them. What wins is being present and useful for long enough that you are the obvious call when they finally decide.

Same CRM, deliberately different logic. Building one and applying it to both is why most agency automation underperforms.

Questions

Real Estate — common questions

Does instant response actually win more viewings?

The competitive dynamic makes it likely — the same portal enquiry reaches several agents at once and buyers generally engage with whoever replies first. The published research on lead response supports the direction strongly, though it was not conducted specifically on property. We would not claim a precise figure for your market.

Will buyers talk to an AI agent about a property?

For an initial enquiry — confirming the property is available, establishing budget and timeline, booking a viewing — generally yes, particularly at 9pm on a Sunday when the alternative is nothing. For negotiation or detailed advice about a specific property, the agent should take over, and we build the handoff explicitly.

How do you handle long vendor cycles?

With nurture sequences designed to run for months rather than weeks, containing content a prospective vendor genuinely finds useful rather than repeated requests for a valuation. The objective is being in contact when the decision arrives, which is rarely when the enquiry was made.

Can it integrate with our property software?

Where your CRM or portal feed exposes an API or webhooks, yes. Some property systems are closed, in which case we integrate what we can and are straightforward about what stays manual rather than promising a sync that does not exist.

What about lettings as well as sales?

Lettings suits automation particularly well because the volume is higher and the qualification criteria are more mechanical — affordability, move-in date, pets, guarantor. Much of it can be handled before any agent is involved.
