Messaging automation

WhatsApp automation on the channel people actually reply to

In most of the world, WhatsApp is where customers actually reply. It also has rules that email and SMS do not — template approval, a 24-hour reply window, and quality ratings that can throttle your sending if you get it wrong.

Quick answer

How does WhatsApp automation work for business?

WhatsApp automation uses the WhatsApp Business API to send and receive messages programmatically. Outbound messages outside an active conversation must use templates pre-approved by Meta. Once a customer replies, a 24-hour window opens in which free-form messages are allowed, which is when automated conversations and AI replies can run.

The problem

What this actually fixes

  • Emails go unread and SMS gets ignored, but WhatsApp messages get answered within minutes.

  • Your team runs WhatsApp from a personal phone, so conversations are invisible to the CRM.

  • Nobody can cover WhatsApp evenings and weekends, which is when customers message.

  • Message templates get rejected by Meta and nobody understands why.

  • Sends get throttled because the number's quality rating dropped.

  • Conversations happen on WhatsApp but the record lives in the CRM, so neither is complete.

Scope

What's included

Every engagement is scoped to what you actually need. This is the full deliverable list.

  1. Deliverable 01

    WhatsApp Business API setup

Business verification, number provisioning or migration, and display-name approval — the process that most self-serve attempts stall on.

  2. Deliverable 02

    Template design and approval

Templates written to pass review first time, categorised correctly, and versioned so a rejection does not stop your sending.

  3. Deliverable 03

    24-hour window handling

Sequences designed around the service window, so free-form messages are sent when they are permitted and templates when they are required.

  4. Deliverable 04

    Two-way conversation routing

Inbound replies land in GoHighLevel, on the contact record, visible to whoever picks it up — not on someone's personal phone.

  5. Deliverable 05

    AI-assisted replies

An AI agent handling routine questions and qualification inside the window, escalating to a human when the conversation needs one.

  6. Deliverable 06

    Booking inside the chat

Appointments offered and confirmed in the conversation, written to the live calendar, without pushing the customer to a separate form.

  7. Deliverable 07

    Quality rating protection

Opt-in hygiene, frequency control and content review, because a throttled number is far more expensive than a slower cadence.

  8. Deliverable 08

    Compliance and opt-out

Consent capture, opt-out handling and record-keeping appropriate to the markets you message into.

How it works

From first call to running system

  1. Step

    Access and verification

Business verification and API access started first, because Meta's review timeline is the one part of this we cannot compress.

  2. Step

    Template strategy

The messages you need, written to policy, categorised correctly and submitted in a batch so approvals come back together.

  3. Step

    Build

Flows built around the service window, CRM routing wired, AI replies scoped and bounded, booking connected.

  4. Step

    Pilot and monitor

Live on a segment while watching the quality rating and reply rates, then widened once the number's standing is stable.

Use cases

Where this earns its keep

International lead follow-up

Markets where WhatsApp is the default channel and email is largely ignored.

Appointment confirmations and reminders

Reminders that are actually read, with reschedule handled in the same thread.

Ecommerce and order updates

Post-purchase updates and support questions on the channel customers already use.

Recovering the personal-phone problem

Bringing conversations that live on a salesperson's own phone into a system the business owns.

Why WhatsApp is not just another SMS channel

Teams that treat WhatsApp as SMS with nicer formatting run into the same three problems in the same order: templates get rejected, sequences fail to deliver outside the service window, and the number’s quality rating drops because everyone on the list got messaged.

The platform is deliberately biased toward conversations the customer wanted. That is exactly why reply rates are good — and it is why the sequence design has to be different rather than ported across from your email flows.

Build around the window, earn the opt-in properly, and it is the most responsive channel most businesses have. Treat it as a broadcast list and it will be throttled within weeks.

Where this fits

WhatsApp usually works best alongside AI voice agents for callers who prefer to talk, and workflow automation to decide which channel a given contact should be reached on in the first place.

Questions

WhatsApp Automation — common questions

What is the 24-hour window and why does it matter?

When a customer messages your business, a 24-hour service window opens during which you can send free-form messages. Outside that window you may only send pre-approved templates. It matters because it dictates sequence design: an automation that assumes it can send anything at any time will simply fail to deliver.

Why do WhatsApp templates get rejected?

Usually miscategorisation — sending marketing content under a utility category — or promotional language in a template meant to be transactional, or placeholder variables used in ways policy does not permit. We write and categorise templates to pass review, and keep approved alternatives available so a rejection never stops your sending.

Can we use our existing business number?

Usually, provided it is not already registered to a personal WhatsApp account. If it is, that account must be deleted before the number can be migrated to the Business API, which means losing its chat history. We plan around that rather than discovering it mid-migration.

What is a quality rating and how do we protect it?

Meta rates each number based on how recipients respond — blocks and reports lower it, and a low rating reduces how many messages you can send per day. It is protected by messaging only people who genuinely opted in, keeping frequency sensible, and making opting out easy. Volume discipline is cheaper than a throttled number.

Does this work with GoHighLevel?

Yes. Conversations route into GoHighLevel so the thread sits on the contact record alongside calls, SMS and email, and workflows can trigger on WhatsApp events like any other channel. That single-thread view is most of the operational value.

Can AI reply to WhatsApp messages automatically?

Inside the 24-hour window, yes — an AI agent can handle routine questions, qualify and book. We bound what it is permitted to claim and route anything outside that scope to a human, for the same reasons we do on voice.
