AI Appointment Setter

Also written: AI booking agent

Quick answer

What is an AI appointment setter?

An AI appointment setter is a voice agent that places outbound calls to leads or contact lists. It opens the conversation, confirms interest, qualifies against defined criteria, handles common objections, checks live calendar availability and books the appointment, writing the outcome back to the CRM.

The distinction from an AI SDR is the starting point. An appointment setter works people who have already shown interest — enquiries, existing contacts, warm lists — and its job is filling a calendar. An SDR does cold prospecting where interest has to be created, and its job is generating qualified pipeline.

The strongest use case is usually not new leads but dormant ones. Calling several thousand old enquiries was never viable manually because the labour cost exceeded the expected return; an agent changes that arithmetic, and the acquisition cost on those contacts is already sunk.

Outbound calling carries consent obligations that inbound answering does not — TCPA in the US, TPS screening in the UK, the Do Not Call Register in Australia — and these apply to automated calling exactly as they do to a human dialler.
