What is lead routing?
Lead routing is the set of rules that decides which person or team receives each incoming enquiry, and how quickly. Common methods assign by round robin, geographic territory, product or skill, or current availability. Routing rules also define what happens when the assigned owner does not respond in time.
Routing is where most CRM builds quietly fail. The rule that assigns the lead is usually written; the rule that catches an unworked lead usually is not.
The four common methods
Round robin distributes evenly across a group. Simple, fair, and blind to whether the person is available — which is why it needs an escalation rule behind it.
Territory assigns by postcode, state or region. Necessary wherever the work is physical, and the usual source of gaps: a postcode nobody owns silently routes nowhere.
Skill or product sends the enquiry to whoever handles that line. Depends entirely on the enquiry being classified correctly at capture, which is why the form matters more than the rule.
Availability assigns to whoever is actually working. The most effective method and the one that requires real calendar and status data to exist in the first place.
The rule that gets skipped
Assignment is not the same as contact. A lead assigned at 09:02 and untouched at 11:00 has been routed successfully and lost anyway.
