What is a pipeline stage?
A pipeline stage is one named step in a defined sales process, such as enquiry, qualified, quoted or won. Each opportunity sits in exactly one stage at a time, which makes progress measurable and lets automation fire when a record moves between stages.
Stages are the single most misconfigured object in a CRM, because the default set describes how the software works rather than how the business sells.
A stage should be an event, not a feeling
“Interested” and “Warm” are not stages. Nobody can say what has to be true for a record to sit in either, so two people will place the same opportunity differently and the report becomes fiction.
A good stage names something that either happened or did not: Survey booked. Quote sent. Contract signed. Anyone can audit the pipeline against that and agree.
Why the count matters
Too few stages and the pipeline reports nothing useful — everything sits in the middle one. Too many and nobody maintains it, so records rot in whichever stage they were last touched.
The practical test: every stage should have a defined exit action. If you cannot say what makes a record leave a stage, that stage is a label rather than a step.
Stages drive automation
Stage transitions are the most reliable automation trigger available, because they represent a human decision rather than an inferred one. Moving to Quote sent can start the follow-up sequence; moving to Won can stop every sequence at once.
That is also the failure mode. When stages are inconsistent, so is everything triggered by them — which is why a workflow audit almost always turns into a pipeline audit first.
